With PDF Workbench, your files stay on your device. The PDFs and images you open are processed entirely on your own computer — in your browser or in the Mac app. Your file contents are never uploaded to, transmitted to, or stored on our servers. This policy explains the limited account and billing data we do handle.
The short version
- Your files never leave your device. We cannot see, store, or access the documents you work on.
- For purchases made directly from us, we collect only what is needed to deliver and manage your license: your name, email, and license/device records — handled through Polar.
- Direct purchases are handled by Polar, our payment provider. We never receive or store your card details.
- We do not sell your personal data.
Information we collect
- Customer & license data — your name, email, and license/device records, held by Polar (our merchant of record) and accessed by us through Polar to deliver and validate your license. You manage this in Polar's customer portal (email sign-in); we do not run a separate login or store passwords.
- Billing information — processed by Polar (Polar Software Inc.), which acts as the merchant of record. We receive a confirmation that you purchased and your license details, but not your full payment card data.
- License & device records — the license keys tied to your account and the devices (computers) you have activated, synced from Polar so you can manage them.
- Technical data — basic server and CDN logs (IP address, timestamps) kept briefly for security and abuse prevention. The website itself sets no tracking cookies.
- Usage analytics — if enabled, anonymous, cookieless product analytics (which pages and features get used) processed by PostHog. No cookies, no personal data, and no cross-session identity, so there is nothing to consent to.
What we do not collect
We do not collect, upload, or store the contents of your PDFs or images. All merging, splitting, and converting happens locally. We do not use third-party advertising or cross-site tracking.
How we use information
- To deliver, validate, and manage your license and devices.
- To provide support and respond to your requests.
- To keep the service secure and prevent abuse.
- To meet legal and tax obligations.
Who we share information with
- Polar — for payment processing and license management. See Polar's own privacy policy for how they handle payment data.
- Infrastructure providers — hosting and email delivery vendors that process data on our behalf under contract.
- Legal — where required by law or to protect our rights.
We do not sell or rent your personal data to anyone.
Data retention
We and Polar keep license and billing records for as long as needed to support your purchase and meet tax, accounting, and legal obligations. You can request deletion of the data we hold at any time; some records may be retained where the law requires.
Your rights
Depending on where you live, you may have the right to access, correct, export, or delete your personal data, and to object to certain processing. To exercise these rights, email support@pdfworkbench.app.
Children
PDF Workbench is not directed to children under 16, and we do not knowingly collect their personal data.
Changes to this policy
We may update this policy from time to time. Material changes will be reflected by the “last updated” date above.
